Why Watch This Case Study
Hear directly from council peers who’ve lived the change.
In this session, Redland’s team members share:
- What happens when bookings live across “patchwork” systems (and why it doesn’t scale)
- The tangible impact of consolidating bookings, payments, and refunds
- How better visibility helps teams avoid operational clashes (maintenance vs events)
- What they learned during implementation (so you can de-risk yours)
This is a practical, real-world example of what’s possible.
Council's Challenge
Before Attekus Bookable, Redland’s booking experience was fragmented across teams and tools, including:
- A poorly implemented system for main halls (effectively a complex calendar)
- Multiple Outlook calendars and inboxes for other venues
- Limited online visibility of real-time availability
- Manual financial processes (including payments and refunds)
- Higher risk of errors from inconsistent workflows and handoffs
The result: a time-consuming approach that was hard to track, prone to mistakes, and difficult to scale.
The Approach
Redland selected Attekus Bookable as an enterprise solution to consolidate boookings and create a more consistent customer experience – supported by compatibility with key council systems including TechnologyOne financials and OpenCities.
A cross-functional delivery team was formed with representatives from:
- Community halls, sporting fields, parks and reserves
- Libraries
- IndigiScapes
- Finance and IT
This ensured business rules, fees and governance requirements were designed with the people who use (and support) the process every day.
The Results – Tangible Outcomes
Redland reported measurable improvements within six months:
- 22% increase in customer sentiment toward the booking experience
- 76% increase in payment availability, enabling customers to pay anytime (not just business hours)
- Faster, simpler refunds, moving away from manual cheque payments
- Reduced admin workload across customer service, venues and finance
- Improved operational visibility for facilities and parks teams to avoid maintenance clashes with events
They also strengthened governance through system-based controls, including:
- Two-step approvals for fee waivers
- Delegated financial decision-making embedded into workflows
Key Learnings (Redlands Advice to Other Organisations)
Redland recommends:
- Simplify and review pricing structures before configuration
- Involve finance early and throughout
- Use implementation as a chance to streamline business rules and processes
- Bring operational staff into the project to build internal champions
What’s Next
Redland is exploring expansion into additional products and modules, and expressed strong interest in adopting Attekus Bookable’s Events Management product in a future phase.
Talk to the people who care about the experience you deliver.
