City of Launceston
City of Launceston Empowers Community with Seamless Self-Service Booking Platform.
Customer Profile
Launceston is a lifestyle-driven city, innovative by nature. Home to rolling hills, world class education and a vibrant arts and events culture, it is regarded as one of Australia’s most liveable and regional cities with a growing population of over 71,000 people. As the nation’s third oldest city, Launceston has a long history and is home to many stories told and untold. The region has been home to the Tasmanian Aboriginals for thousands of years and we are committed to collaborating with community to preserve, protect and care for the land and our heritage for future generations.
The city is the meeting place of the kanamaluka/Tamar River, surrounded by the state’s most sought after attractions Launceston boasts its own with the Cataract Gorge, City Park, Sports Stadium and Queen Victoria Museum and Art Gallery all within reach of the city centre.
Council's Challenge
City of Launceston’s venue booking system was outdated, manual, and inconsistent. Staff relied on Outlook calendars, paper forms, phone calls, and walk-ins, creating inefficiencies across departments. Each venue operated on a separate calendar, increasing the administrative burden on Customer Service. Physical keys were issued to hirers through Customer Service and had to be collected in person. A deposit was required, which involved multiple interactions with the hirer to manage and facilitate the process.
The community faced no self-service access to council spaces and, especially in the case of the Road Safety Centre, significant strain was placed on staff resources due to the volume of requests handled manually. With no centralised system, visibility of venue availability and revenue and utilisation reporting was limited.
Our Solution
Bookable was chosen following a formal tender process led by an internal council committee. The systems proven integrations, intuitive self-service model, and industry-informed system refinements made Attekus the standout choice.
Standout differentiators included:
- Seamless integration with TechnologyOne (finance) and Gallagher (access control)
- Local expertise, especially knowledge of TechnologyOne
- Attekus’ proactive recommendations and support during implementation
- Proven performance under high-demand situations (e.g. Road Safety Centre reopening)
The Results
- 281 bookings within the first hour of reopening the Road Safety Centre (124 in the first 10 minutes)
- Significant reduction in customer service workload – phone calls and manual availability checks
- Stable, secure integrations with minimal support required post-launch
- Increased visibility of venue-generated revenue for finance
- Future plans to use analytics to inform council decisions based on usage patterns
Bookable has completely transformed the way our community accesses council spaces.
The Road Safety Centre reopening showed just how powerful a self-service model can be 281 bookings in an hour, all without staff intervention. From day one, it just worked.
Following the success with community venues, City of Launceston will extend Bookable to manage its sporting grounds.
New booking checklists will capture demographic and utilisation data, supporting more informed decision-making around community infrastructure and investment.
